Information we collect
- Enquiry information: your name, business details, email address, telephone number and anything you include when contacting us by email or WhatsApp.
- Project and client information: communications, proposals, service requirements, contractual and billing records if you ask us for a proposal or become a client.
- Basic technical records: our hosting provider may process IP address, browser/device information, requested pages, date and time, and security logs needed to deliver and protect the website.
We do not intentionally collect special-category information through this website. Please do not send sensitive personal information unless it is necessary and we have agreed how it should be handled.
Why we use it and our lawful basis
- To answer enquiries, understand requirements and prepare proposals: steps taken at your request before entering a contract and our legitimate interest in responding to potential clients.
- To deliver agreed services, manage projects and communicate with clients: performance of a contract.
- To maintain website availability, prevent misuse and investigate security incidents: our legitimate interest in operating a safe and reliable website.
- To maintain accounting and corporate records: compliance with legal obligations.
We do not use website information for solely automated decisions that produce legal or similarly significant effects.
Who receives information?
We share information only where reasonably necessary with service providers supporting our operations, such as website hosting, business email, communications, professional advisers and IT providers. They may process information only for the relevant service or under their own privacy terms where they act independently.
If you choose WhatsApp, your communication is handled by WhatsApp/Meta under its own terms and privacy policy. Do not use WhatsApp for information you consider highly confidential.
We may also disclose information where required by law, to protect legal rights, or in connection with a business reorganisation.
International transfers
Some suppliers may process information outside the United Kingdom. Where we control such a transfer, we use an applicable legal mechanism, such as UK adequacy regulations or approved contractual safeguards. Third-party services you choose to use, including WhatsApp, may make their own international transfers under their privacy terms.
How long we keep information
- General enquiries that do not become a project: normally up to 24 months after the last meaningful contact.
- Client, contractual and accounting records: for the relationship and normally six years afterwards, unless a different period is required for legal, tax or dispute purposes.
- Technical and security logs: only for the period reasonably required for operation, troubleshooting and security, as configured by our hosting provider.
We may retain limited information for longer where necessary to establish, exercise or defend legal claims.
Your rights
Depending on the circumstances, UK data protection law may give you rights to access, correct or erase your information; restrict or object to its use; and receive certain information in a portable format. Where processing is based on consent, you can withdraw it at any time without affecting earlier processing.
You have the right to object to processing based on our legitimate interests and to direct marketing at any time.
To exercise a right, email contact@emdigital.online. We may need to verify your identity before responding.
Complaints
Please contact us first so we can try to resolve your concern. You also have the right to complain to the UK Information Commissioner’s Office (ICO), whose contact details and complaint service are available at ico.org.uk/make-a-complaint.

We use proportionate technical and organisational safeguards designed to protect personal information. No internet service is completely secure, so please choose an appropriate communication channel for the sensitivity of your information.
We may update this notice when our services, suppliers or legal obligations change. The date at the top shows the latest revision.
